TRANSFER A LOCATION #

If not already, navigate to https://apa.afanywhere.com/cs and log in.

On the top left one will find the site menu button.  Navigate to Menu > Service Locations > Edit: Locations

In the location screen, locate the location you wish to transfer and click the record row to highlight that location record.

Navigate to the Do menu and select Do > Transfer

The transfer service location wizard will step you through transferring a service location from one customer to another quickly and easily.  The transfer window will open, and one will need to carefully review the options of each screen.

PLEASE NOTE:  Once a location is transferred it cannot be undone.  One must be sure they are correctly transferring the location.

The first transfer screen will ask about generating new changes and who gets the charges.  For the options listed below, choose the functions that you wish to perform.

  • Generate final charges for old customer: To generate final charges for the old customer, check this box.
  • Consume available credits or deposits: If there are credits that need to be used prior to the transfer, check this box.
  • Transfer all balances to new customer: If all of the current balance should be charged to the new owner, check this box.
  • Print final statement for old customer: To generate a final statement to print for the old customer, check this box.
  • Statement Form:  Select the final statement format to be printed if the previous box was checked.

Once completed, select the Next button at the top of the screen.

On the next screen of the transfer wizard, one will verify the service location that is to be transferred to a new customer, the transfer date and the new customer.

Use the customer locator button to find the customer, or if the customer doesn’t exist, add a new customer.

If the location has a meter one will need to enter the reading as of the transfer date/move out date.

Enter the reading date in the highlighted date field and the reading in the highlighted reading field.

One will have to have the water department do a meter interrogation if the transfer date is not on a reading date.

Use the existing charges tab of the transfer wizard to review the current unpaid activity. Use the new charges tab to enter new activity. These new charges are to be paid by the new customer at the service location.

The final page of the wizard will give you a summary of what is being performed in the transfer.  Please verify that you have entered all the information correctly. Once you press the Submit button, these steps cannot be automatically undone.

If all info is correct, select the Submit button.

Once complete, a PDF statement will open to print if a final statement was generated.

Locate the location that was just transferred to verify it was transferred correctly.

COMMON ERRORS #

Error: You cannot have unpaid activity after the transfer date.

  • This error is stating that the transfer date cannot be before the date of the open charges.
  • If the location transfer date should have been before the open charges, the work around is to choose a date at least 1 day ahead of the open charges and make the transfer.
    • You will have to open the location and both the old and new organization accounts to verify the charges have been moved or generated like you wanted.
    • You will also need to open the location and in the Service Location tab change the Move-In Date to the correct date.  By default it will make that the transfer date you used in the previous steps.
